ICCC Charitable Donation Request Application Guidelines
- All nomination submissions must be made via the ICCC web site. The submission form is located here: ICCC Charitable Donation Request.
- Charitable requests shall be accepted only from members who have fulfilled their organizational obligations, both financially and in accordance with the ICCC by-laws and have been paid-up members for three (3) consecutive years (including the current year) prior to date charitable request is received.
- A member is limited to one charitable request donation within a 12-month period. The 12-month period begins at the quarterly general body meeting during which the last request was approved.
- A charity that has received a previous donation, approved by the ICCC general body, cannot be resubmitted to receive another donation in consecutive calendar years.
- ICCC will contribute funds as determined by ICCC current budget.
- Distribution criteria taken into consideration by the Charity Committee include the following:
- We reserve $1,000 each, for submissions made by the host clubs of the January, April and October quarterly meetings. (The Convention host receives a charity allocation as part of the Convention budget, and this is handled outside of the approved Charity budget.) This is to leave a positive footprint in the cities that we visit. If the host club fails to submit a nomination or if we have a quarterly meeting in a city without a host club, the associated reserved $1,000 goes back into the pot for donations to nominations made by the General Body.
- The Committee’s goal is to award ALL of the funds allocated for donations as we want to maximize our giving to the full extent authorized by the General Body.
- The maximum amount ICCC will donate per request is $1,000 and the minimum is $200. The Committee does not try to determine whether any of the nominated charities are more deserving than any others nominated. Award amounts
recommended to the General Body are based solely on the unallocated funds remaining in the Charity budget and the Committee’s attempts to have sufficient funds to make awards to General Body nominations made throughout the year. - ICCC members must use the application form established by Charitable Committee to submit requests electronically through the ICCC Web site. The form is located under the “Social Responsibility” link.
- Donation requests will be reviewed within four weeks of receipt. It is suggested that requests be submitted at least 8 weeks in advance of the ICCC quarterly meeting during which it will be presented for general body approval.
- The requesting person or organization will be contacted regardless of whether or not the requests is granted.
- No monetary donations will be made to churches because of different faiths within ICCC. Nor will donations be made to colleges/universities and Greek organizations for similar reasons.
- Although not formally prohibited, donation requests for individuals are discouraged. The vetting process to verify the validity of the related situation is usually impossible without getting access to some form of the Recipient’s Personal Information and the Charity Committee will not expose the ICCC to the legal liability such access represents. It is suggested individual clubs make efforts to address these needs on a local basis since members have first-hand knowledge of the situations and no vetting process in required.
- Applicant shall provide details directly related to the expected benefits from the requested donation; such as the basis of need from a charitable event, medical, economically or disadvantaged group’s assisted, educational assistance services made available or the enablement of actions directly enhancing the community.
- Applicant, or their designated representative, must be available to receive related disbursements from the ICCC Treasurer at the associated quarterly meeting during which the donation is approved.
- The ICCC General Body will determine approval or disapproval of each request that meet all ICCC charitable guidelines.
- All approved charitable requests require a 1-page narrative on the outcome of the event or a photo of the donation presentation within 90 days after the related event ends or the presentation occurs. The feedback should be sent by the ICCC applicant via e-mail to one or more of the Charitable Committee members as listed in the ICCC Membership Directory.
